App Support

Katana — Support & User Guide

What is Katana's Craftsmen app?

Katana is a production management app built for custom glove businesses. It connects your Shopify store with your production team, giving managers full visibility over every order and allowing craftsmen to track their work — all from a single iOS app. The app supports both English and Japanese.

Getting Started

Creating an Account

When you first open Katana, you'll be greeted by the sign-in screen. If you don't have an account yet, tap Sign Up and follow the steps:
Enter your email address and create a password

Enter your name.

Once registered, you'll be signed in automatically.

Forgot Your Password?

On the sign-in screen, tap Forgot password? and enter the email address associated with your account. You'll receive a password reset email from Firebase. Be sure to check your spam folder if it doesn't appear within a few minutes.

The Orders Page

The Orders tab is the main hub of the app. What you see here depends on your role:
  • Managers see all orders from your Shopify store.
  • Craftsmen see only orders that have been assigned to them.

Order List

Each order row shows at a glance:
  • Customer name and order number
  • Line item ID for precise identification
  • Glove model and position (e.g., "Pro Fielder – Infield"), localized to your device's language
  • Production cost (¥) with any upsell add-ons shown alongside
  • Due date with color-coded urgency (red = overdue, orange = due within a week)
  • Assignment status — who the order is assigned to, or "Unassigned"
  • A ⚡ gold bolt icon next to priority speed orders
  • A 🔴 red dot indicator for orders with unread updates (e.g., a new assignment notification)

Searching & Sorting

  • Use the search bar at the top to filter orders by customer name, order number, or line item ID.
  • Tap the sort icon (↑↓) in the top-left to sort orders by Order Date, Assignment Date, or Due Date.

Pull to Refresh

Swipe down on the orders list to sync the latest data from Shopify and your production database.

Completed Orders

Once an order is marked as Paid, it moves out of the main orders list. You can still view all completed orders by tapping the Completed Orders row at the bottom of the orders list. This section shows every paid order, complete with search functionality.

Order Detail Page

Tap any order to open its detail page. At the top, you'll see:

3D Glove Preview

A live, interactive 3D preview of the custom glove exactly as the customer configured it. You can rotate and inspect the model by swiping.

Quick Action Buttons

A horizontal row of action buttons gives you fast access to:

Sections

Scrolling down the detail page, you'll find:
  • Priority Speed Order — If the customer paid for priority production, this is displayed prominently at the top with a gold icon.
  • Due Date — Shows the delivery deadline with days remaining. The due date is always editable (tap "Edit"), even before assignment. Priority orders default to 5 weeks; standard orders default to 13 weeks.
  • Assignment — Shows who the order is assigned to, or lets a manager assign it. If 3D screenshots haven't been captured yet, the app will prompt you to capture them before assigning.
  • Production Progress — A step-by-step progress tracker showing each completed stage with timestamps.
  • Notes — A text field pre-populated with the customer's "Special Instructions" from their order. Anyone can edit and save additional notes.
  • Production Cost — Shows the total cost and links to a detailed cost breakdown where managers can override individual cost components.
  • Order Info — Customer name, order number, date, and shipping address.
  • Instagram — If the customer provided an Instagram handle, it appears with a direct link to their profile.
  • Customizations — All of the customer's glove customization choices (colors, fonts, embroidery, etc.), translated to the device language.
  • Upsells & Add-ons — Any additional products purchased with the glove.
  • Media — Production photos and videos captured during the build process.

Invoice Link

If an invoice has been created that includes this order, a View Invoice button will appear, linking directly to the invoice detail.

Production Workflow

Every order moves through a defined sequence of production steps:
Tapping the Photos step will open the camera to take production photos. Tapping the Paid step shows the associated invoice.
> Note: The "Paid" status can only be set from the Invoices page — not directly on the order.

Bulk Actions (Select Mode)

On the orders page, tap Select in the top-right to enter selection mode. You can select individual orders or use Select All, then choose from:
  • Get Order Sheets — Generate and share order sheet PDFs for all selected orders at once.
  • Get Shipping CSV — Generate a shipping CSV file for the selected orders.
  • Create Invoice — Group the selected orders by craftsman and create invoices.
  • Mark As… — Update the production status of all selected orders at once (e.g., mark them all as "Shipped").
  • Assign — Assign all selected orders to a craftsman in one action. You can also set a due date before assigning.

Push Notifications

Katana sends push notifications to keep everyone in the loop:
  • Craftsmen receive a notification when a new order is assigned to them.
  • Managers receive a notification when a craftsman completes the "Photos Taken" step.
  • Managers receive a notification when a new invoice is created.
  • Craftsmen receive a notification when an invoice is marked as "Paid."
Tapping a notification opens the app directly to the relevant order or invoice. Unread updates show a red dot indicator next to the order in the list, which disappears once you view the order.
> Make sure to allow notifications when prompted on first launch, or enable them in Settings > Katana > Notifications.

Invoices

For Managers

Access invoices from Profile > Manage Invoices. You can filter by Unpaid, Paid, or All.

Creating an Invoice

There are two ways to create invoices:
  1. From the Invoices page — Tap the + button in the top-right. This shows all assigned orders that aren't already in an invoice, grouped by craftsman. Select the orders you want to include (use "Select All" per craftsman for convenience), then tap Next to preview the invoice PDF before saving.
  1. From Bulk Actions — Select orders on the Orders page, then choose Create Invoice from the bulk action menu.
Each invoice includes:
  • Craftsman name and date
  • A list of all included orders with their production costs and line-item breakdowns
  • The total amount owed
  • The craftsman's payment details (if they've configured them)
  • A generated PDF that's uploaded and stored for both parties to access

Marking as Paid

Open an invoice and tap Mark as Paid. This will:
  • Update the invoice status to "Paid" with the payment date
  • Automatically set all associated orders to the "Paid" production step
  • Send a push notification to the craftsman
> Important: Once an order is marked as paid, it moves from the main orders list to the Completed Orders archive.

For Craftsmen

Access your invoices from Profile > My Invoices. You can view each invoice's PDF, see the status (Paid/Unpaid), and review the included orders.

Configuring Payment Details

Go to Profile > Configure Invoice to enter your banking details, payment instructions, or any other recurring text. This information will automatically appear on all invoices created for you.

Order Sheets

Order sheets are printable production documents that accompany each glove during the build process.

Viewing an Order Sheet

Tap the Order Sheet button on any order detail page. The app will display either:
  • A template-based order sheet — your custom PDF template with data fields overlaid (configured by managers).
  • A line items sheet — an automatically generated document listing all of the order's customization details.
Managers can choose which template to use and switch between available templates, while craftsmen see only the final order sheet.

Managing Templates (Managers Only)

Go to Profile > Order Sheets to manage your order sheet templates:
  • Create templates by uploading a background image (e.g., a scanned form or designed layout).
  • Place fields on the template — text fields, checkboxes, white-out boxes, and more — each mapped to specific order data.
  • Configure field positions by tapping and dragging directly on the template image.
  • Templates can be set to auto-match specific glove models or variants.

3D Screenshots

Before assigning an order, the app can automatically capture multi-angle screenshots of the 3D glove model. These are compiled into a PDF and uploaded for reference during production.
When assigning an unassigned order, if screenshots haven't been captured yet, the app will open the screenshot capture flow automatically. You can also capture screenshots in bulk by selecting multiple orders.

Shipping (OpenLogi Integration)

The OpenLogi button on each order provides:
  • View CSV — Preview the shipping data in CSV format.
  • View Label — View any uploaded shipping labels.
  • Upload Label (Managers only) — Upload shipping label images or files for the order.

Configuring Shipping Forms (Managers Only)

Go to Profile > Shipping Forms to create and edit shipping form configurations:
  • Define the columns for your CSV export.
  • Define row types — separate rows for the main product and each upsell product.
  • Configure what Shopify data maps to each column for each row type.

Production Photos

Tap the Camera button on any order to take production photos. Photos are uploaded to cloud storage and appear in the Media section of the order detail. These photos are visible to both managers and craftsmen.

Profile Page

For Everyone

  • View and edit your profile picture and display name.
  • See your account role (Manager or Craftsman).
  • Access your invoices.
  • View the app version.
  • Sign out of your account.

Manager-Only Sections

  • Team Members — View all team members registered in the system.
  • Order Sheets — Create and manage order sheet templates.
  • Partnerships — View partnership data synced from Shopify.

Craftsman-Only Sections

  • My Invoices — View invoices created for you.
  • Configure Invoice — Set up your payment details and banking information to appear on invoices.

Test Assignments

Managers can assign an order to "Test" — a special assignment that removes the order from the main list. This is useful for testing the production workflow or temporarily hiding an order without deleting it.

Data & Sync

Katana caches all data locally on your device for instant startup and offline browsing. When you open the app or pull to refresh, it syncs in the background with:
  • Shopify (via our server) — for order and product configuration data
  • Firebase — for assignments, invoices, notes, user profiles, and uploaded media
The last sync timestamp is shown at the bottom of the orders page.

Troubleshooting

I'm not receiving push notifications

  • Make sure notifications are enabled in your device's Settings > Katana > Notifications.
  • Ensure you're signed in — notifications are tied to your user account.
  • Try signing out and signing back in to refresh your notification token.

Orders aren't showing up

  • Pull down to refresh the orders list.
  • Check your internet connection — Katana needs to sync with Shopify to show new orders.
  • If you're a craftsman, you'll only see orders assigned to you.

The 3D preview isn't loading

  • Ensure you have a stable internet connection — the 3D model is loaded from our server.
  • Try force-closing and reopening the app.

Password reset email isn't arriving

  • Double-check that you're entering the correct email address.
  • Check your spam/junk folder.
  • Wait a few minutes — email delivery can sometimes be delayed.
